Job Purpose
KOFISI events are designed to inspire members, cross-pollinate the community and educate. S/he will be tasked to provide our members and customers with a first-class experience. They will liaise with the Event Sales Manager and the hospitality team to meet customer expectations. The duties will include controlling the cost and quality of services, preparing the venue, and coordinating the service of staff, food and beverage. The successful Jnr Banquet Manager should be an organized storyteller with their finger on the pulse with for cultural trends as well as talent and brings fresh ideas to the table that continue to engage members, customers, guests and staff.
Overall Duties and Responsibilities
- Planning and execution of member and non-member events across all KOFISI Centres – this should include advance planning of a calendar of member events, execution of such events including mobilizing inter department teams, project management and taking overall responsibility for each event:
- Planning space layouts according to the number of guests and the type of event.
- Determining the number of station waiters required (staffing).
- Supervising the placement of tables, chairs, cutlery, plates, glasses, table linens, centerpieces etc.
- Consulting with the kitchen regarding the execution of F&B service.
- Liaising with the FM team to ensure a smooth delivery of all events.
- Working with the tech team to ensure timely and correct set-ups and support.
- Working with Floor Manager to ensure timely delivery of components for prep and practice runs
- Discussing sales contract details with the event manager and hospitality team.
- Draft all Banquet Event Orders (BEO’s) and share with stakeholders well in advance of booked meetings & events.
- Working with the marketing team to design and execute event communications, that promote member events.
- Maintain a robust database of contacts and suppliers and liaise and negotiate including maintaining SLAs and having regular supplier meetings to strengthen the working relationship.
- Work with the F&B Manager to forecast and manage the department budget.
- Working with the Event Sales Manager to create systems to track the booking and forward planning of events so that deadlines and budgets are always met.
- Work with the Hospitality team and the CRMs to maintain ongoing hospitality staff training.
- Work with the Programming team to ensure space training is always up to date and that there is smooth communications channel between the Events and Product Control teams.
- Propose trends, technology, and leading innovations for new event formats (including digital) and collaborate to deliver.
- Develop of meeting room packages with F&B Manager and Content team to increase usage and revenues across all centres.
- Posting and analyzing post-event reports and feedback surveys.
- Attending all meetings needed to manage his/her role.
- Liaise with the Floor Manager in weekly reporting against set budgets.
- Liaise with the Floor Manager to ensure Events stationery and equipment are sufficient as per upcoming Event requirements.
Basic Requirements
- 2+ years of event experience fostering a diverse network and knowledge to execute events large and small.
- Creativity driven.
- Collaborate and communicate well to provide direction/delegation to efficiently accomplish task(s) at hand.
- Project management experience.
- Research, organizational skills, and extraordinary relationship-building skills.
- Ability to multitask and execute under pressure and in demanding fast-paced environments.
- Flexible schedule—long hours and regular evening event coverage as common.
- Hospitality experience a plus.
